Why Web-based INSTANET FORMS?
As the
Realtor’s role changes from being a gatekeeper of data to a
transaction facilitator, it is essential that Realtors are able to
provide home-buyers with efficient service.
With the introduction of INSTANET FORMS, CDM
strives to give Real Estate Professionals a competitive edge
by equipping them with the tools necessary to remain flexible and
mobile in today’s fast paced environment.
Many Realtors
see the impact that the Internet is having on the real estate
industry, but don’t always know what to do about it.
Taking this into consideration, INSTANET FORMS was developed
and engineered to be platform independent and simple and efficient
for any user. In order to
provide the service today’s consumers are demanding Realtors cannot
afford to ignore INSTANET FORMS’advantages. Technology will not
replace Realtors, but those who use technology to their advantage
will replace those who don’t.
In order to provide the highest quality
software and service the INSTANET FORMS service
has been designed to only require the use of Microsoft’s Internet
Explorer and the free Adobe Acrobat reader ver. 5.0 or higher.
The service was specifically designed this way to avoid the
problem of having to install and download proprietary 3rd
party plug-in viewers to operate a program. CDM has been a registered
Adobe Solutions developer for 6 years and has leveraged the Adobe pdf
file format for the creation and maintenance of all of the forms
generated within the INSTANET FORMS service.
The Adobe Acrobat Portable Document File (PDF) technology is the most
common of the web formats used to share documents electronically. All
of the documents created using INSTANET FORMS are user-friendly
data-aware documents that can be used to securely negotiate contracts
on-line to the point of signature and beyond.
Such negotiating capabilities are unique to the real estate
contract industry and can only be found with INSTANET FORMS. With
over 500 million versions of the Adobe Reader distributed, there is a
good chance that your members will already have the required software
to create and maintain their contracts and forms. Unlike other
‘internet’ contract management services INSTANET FORMS does not
require any multi-megabyte 3rd party viewers or form libraries to be
downloaded onto each computer in order to access the service.
INSTANET FORMS users can sit down at any computer (Mac of
Windows based) that has the acrobat reader installed and securely
manage their contracts and forms.
INSTANET FORMS also includes a feature called
INSTANT LOAD which enables members who are restricted to low
bandwidth dial up internet connections to be able to access their
contracts and forms as though they were using DSL or high speed
internet connections.
These
important features together with the ability to seamlessly integrate
the INSTANET FORMS service into MLS’and transaction engines has
cemented INSTANET FORMS as the MLS and Association choice for
internet Contract Management Services.
Web-based available services and functions
Work
with Forms Individually or grouped by Transaction
All users of the
service are given the ability to work with forms individually without
having to start a transaction each time they want to create a form or
they can create transactions where by all of the forms created are
grouped and associated by each transaction created.
Instant
Load for Dial-up Internet users:
CDM has developed
a process that accelerates the service by up to 1000%. Members
can run the INSTANT LOAD service to pre-load the form/contract
templates locally to speed the physical loading of contracts and
forms to the browser. Instead of having to download the
contract template through the internet each time a member accesses a
contract, the INSTANT LOAD service will load the template instantly
from the local hard drive saving valuable time. Members using dialup
modems to access the internet will be able to run the service as if
they were connected by a T1 connection.
Kick
Start Forms:
Members who
choose to work with individual forms can auto-populate forms with
data from any other form that they have previously created. For
example:
If a user wishes to start a new addendum form, they can select a
previously created contract that may contain the contact and/or
property information that can be used to auto-populate the new
addendum form.

History of all activity for each contract/form including:
Creation Date
Revision history
– past and present input field values
Access history –
dates and by whom if contract has been enabled to be remotely edited
through the on-line email negotiation system

information including changes made to input fields along with
previous values, name, dates and times revisions were made to the form

Html based emails from our email servers to provide the ability to
negotiate contracts on-line
Email recipients
who cannot read HTML email messages sent via our web-based email
system will automatically receive text based emails containing the
same contract information.
Send contracts
via email to remote users in a read-only state.
Send contracts
via email to remote users in an editable state
Remote users can
be given the ability to input data into the contract input fields and
all information is stored in the sender’s account. No information is
stored or left on the remote user’s computer. This allows for secure
on-line contract negotiation.
As soon as a
remote email is opened the sender is immediately sent an email
notification that the remote email recipient has received and
successfully opened the emailed contract information.
Send complete
transactions and all associated contracts for remote viewing or
editing.
Send partial
transactions where users can choose to email only selected forms
associated to a transaction for remote viewing and/or editing
Email
notification of remote contract activity:
Email sent
notifying sender that the remote contract has been successfully
opened.

Office
Management Capabilities:
Brokers and/or
administrators are assigned supervisory privileges for their offices.
They will have the ability to access contracts and forms belonging to
agents in their office. This enables offices to remotely administer
contracts and forms for their agents. Agents will be able to access
these new or updated contracts from their own accounts. It also
provides a way for agents to present their contracts to their offices
for approval and/or acceptance in real time without having to fax or
courier contracts.
Customized
Company Logos:
All members have
the ability to have their own corporate logo placed on each of the
forms.
Offline
Archive Feature:
All contracts and
forms can be archived in a compressed password protected pdf document
for offline storage or for import into the desktop version of the
service.
Form Factory
Feature:
Users can select
any or all of the associated contracts in a transaction and the
service will process and create 1 pdf document containing all of the
contracts in a transaction. The resulting document can be used to
print all of the associated contracts in a transaction with one click
of the mouse or can simply be saved locally to the user’s computer
for archiving purposes.
Clause
Databases:
Members have the
ability to insert clauses from either one of two different clause
databases into their contracts and forms.
System Clause
Database - this database is the database of clauses provided by the
Association/Board/MLS. Members can access and insert the clauses
into their forms but cannot edit the on-line database.
Personal Clause
Database – this database is a private collection of personal clauses
input by each member. Members can maintain this list of clauses and
use them to auto-populate their contracts and forms.
Contact
Databases:
Members have the
ability to insert contacts from their own personal on-line contact
database into their contracts and forms.
If available the
on-line service can be modified to read and use contact databases
located in a user’s MLS service if applicable
Import and
Export Contracts:
The INSTANET
FORMS service can import and export contracts and forms with the
INSTANET FORMS distributed disk based program. Contracts can be
started on either service and be seamlessly interchanged between the
two programs. This gives realtors the ability to work on contracts
either on-line or offline anywhere, anytime.
Quick Start
Form Groups:
Users can
pre-select and define their own common groups of forms to help
expedite the process of creating and auto-populating transactions.
Instead of a user having to manually select each form to be created
and associated to a transaction they simply select the Quick Start
Form group of their choice. All of the pre-selected forms defined in
the Quick Start Form Group are created and auto-populated with the
transaction data.
Automatic
Contract and Form Updates:
CDM guarantees
that any contract and form revisions will be made available to all
members within 48 hours after receiving them. Members that use the
INSTANT LOAD service will be alerted they must run the INSTANT LOAD
service again to update the contract templates located on their hard
drives.
XML
interface:
The INSTANET
FORMS service has built in XML support to read and write data to
external data sources. This ability enables the INSTANET FORMS
service to talk to any web-based data source allowing for the
auto-input of data from 3rd party vendors such as MLS services and
eTransaction services.
